5. MINUTES OF THE PREVIOUS MEETING:

Not Applicable – first board meeting for this new board however minutes from 11 December 2023 approved by George & Mira who were present.

Discussion that the Independent Governance Advisory Committee was appointed following the advice of McCaw Lewis.

11. Report from Vicki Campbell from Equilibrium Law

At this point Seamus leaves the meeting – he communicated his opinion on the matter to the board and this was noted.

14. Discussion with Brett McEwan, Director of Student Services, University of Waikato.

At this point in the meeting the WSU board agreed that they should take the time to consider all the information from the above and have a special board hui to discuss HR matters.

Agenda items 14, 15, 16 move to the next meeting.

17. Minute secretary

Action: WSU staff to place a notice/advertisement on social media & WSU page for a Minute Secretary for the WSU board meetings.

18. Annual Plan

Two points that need to be actioned:

1.4       Emailed Lara, needed to go through James (Acting Manager WSU)

Working on it with team.  Online calendar – place holders in this to ensure students know when things are happening. 

3.7       WSU full time staff to be a living wage employer by March 2023, checking acted on.

Action: George will acknowledge James’s report and confirm that the living wage was passed by the 2023 AGM last year.  The board was confident that the financial status of the union can cover any extra costs for WSU staff at Orientation week.

Action: The board will work in conjunction with the WSU staff to ensure that the KPI’s on the action plan are delivered.

19. Putikitiki Funding
    
    

Motion:            The funding for the redesign of Putikitiki signage, pou/pillars is approved, and the signage is still to be paid through the SCBFT and approved through them.

20. Eric Adjei Baah

Support to the family & community of this international student who has 3 children.  Lushomo & Milly visited the family last year.  Funeral & burial on Friday 26^th at the University.
George, Milly, Zac & Sina attending.  Promoted the Give a Little page.

Action: WSU will prepare a letter to the family to offer support.  To be signed and forwarded by the board along with a donation of up to $500.  This will be passed over at the funeral on Friday 26^th January 2024.

21. WSU Partnership with the Lawrenson Group

Action: That the WSU staff prepare an impact assessment on the relationship with the Lawrenson group.

Action: That Mira will prepare a draft email to the Lawrenson group to communicate the findings of this.

Action: That a brief report of the concerns relating to the Lawrenson group will be prepared by the board (shared doc)

Motion: That all WSU correspondence and emails are sent to Temple & Mira (VP’s) and CC’d to all WSU Directors at (Directors2024).  If any of the team are responding to an email the entire board are cc’d into the thread.  This ensures all communication is shared.
