Things to Know When Hosting an Event Involving Alcohol
Check the venue is available on the date and at the time you want.
As an affiliated club, you have access to our equipment and spaces. Let us know if there is any equipment you would like to hire.
Bookings must be made three weeks in advance and are subject to availability (and only during teaching weeks).
A WSU staff member will also need to be rostered on for your event so it’s a good idea to come in and meet the team.
If you’re planning on having a live band or DJ, be aware of potential noise restrictions around campus. There is a campus-wide noise ban starting one week before teaching study week and will last until the Sunday following exams.
Will your event be free or involve pre-sold tickets? You can not sell tickets at the door.
If you intend on selling alcohol at your event, you will need to organise a license for this and send us a copy of the licensing agreement.
You need to have food and water easily accessible in the event that people become too intoxicated.
Alcohol Management Plan
An alcohol management plan and harm-minimisation tools must be in place before the event takes place. Tools should include:
Providing and promoting low-alcohol drinks, food and water.
Imposing alcohol restrictions on entry (maximum of 6 beers or 4 pre-mixed drinks of 330ml or less). Cans are preferred.
Banning alcohol promotions.
Restricting alcohol sale and service hours.
Restricting the alcohol types supplied (e.g. beers, ciders only).
You will need event security or door staff.
You will need one security staff for every 50 people in attendance, with a minimum of two for any event.
Security staff will need to be easily identifiable to both WSU and University security staff.
Security staff will need to be briefed on the management plan and will need to know the evacuation points.
